How to describe your projects in the PMP application form

The PMI requires from all applicants to be 'experienced'.

Project management experience according to PMI
Upon receipt of your application, PMI will check if your role in the described projects is as follows:
1. you were responsible for the project during its entire life cycle - all major aspects like Scope, Time, Cost Management and constraints resulting from them
2. you needed to be a leader of cross-functional teams working only under general supervision
3. your projects meet the PMI definition of projects
4. you know how to use methodology during your projects.

500 characters of details details
It is not easy to describe projects appropriately because there is not much room in the field text provided in the on-line application - just 500 characters.

The PMI demands describing projects in enough details but shortly at the same time. Their standard requires you to include:
1. short (one sentence) described project objective - like a project mission
2. project outcomes or deliverables per process areas (Initiating, Planning, Executing, Monitoring and Controlling, and Closing)
3. what was the project end result

Examples
The outcomes need only be described generally of what YOU as a project manager delivered.
Examples may include:
a) Initiating - Developed Project Charter
b) Planning - Designed and managed Requirements collection workshops
c) Executing - Managed virtual team
d) Monitoring - Performed quality checks and hand-overs to the client
e) Closing - Finalized project repository

You need to describe your project management experience (i.e. directing or leading works in projects) in each of the process groups but not necessary on each project taken into account. This means that in some projects you may include only Initiation and Planning and in others all process groups. Make sure that your entire project management history describes your experience in all process areas.

Documenting experience
You are required to document experience you've accrued leading and directing projects under general supervision within the constraints of schedule, budget and scope. The project management experience being documented should indicate you can appropriately apply a methodology to projects that have reasonable well-defined project requirements and deliverables.
    * Minimum of 4500 hours of project management experience.
    * Project management experience dating back at least three years from application submittal date.
    * Project management experience not dating back further than eight years from the application submittal date.
    * Minimum of 36 months of project management experience (gaps in experience and overlapping experience will not be counted).
    * Project management experience is required in each of the following process areas when all projects are totaled, but not on each project:
          o Initiating
          o Planning
          o Executing
          o Monitoring and Controlling
          o Closing

Project Management Training
Having done experience details, all you need to do is to include particulars of your Project Management specific education.
You need 35 hours of relevant project management training to be eligible for the PMP Exam. You can add more than one training and summarize the hours. It is worth mentioning that you can document all project management specific training hours regardless of when you attended the training. It seems to be the easiest condition to meet in the PMP exam application.


The training requirement can be satisfied if you attended a course organised by on of the below education provider types:
1) Training companies affiliated with the PMI called Registered Education Providers (R.E.P.s)
2) PMI Component organizations like chapters or specific interest groups
3) Training paid your company
4) Any other training company or consultancy
5) e-learning
6) college or university
In my opinion the best hassle-free solution to meet the training requirement is to purchase the training from the PMI Registered Education Providers (R.E.P.s). These trainings are approved earlier by the PMI so they will not review theym in terms of content. Also, there will be no discussion whether you have 35 or more hours of training because it will be written on your training completion certificate.

Continue with your application and at the end you will see the summary screen.
If you have done all your application sections properly, then their status will be green.

When you are ready, press the button: Submit Application
After pressing the button you will receive on your e-mail the follwing message from the PMI:
We are in receipt of your application and will review and process your application within five business days.  Upon successful conclusion of this review, you will be notified that you are eligible to pay for the exam.  If you have applied by paper application, PMI will process your payment.  Please be advised that while awaiting the review process of your application you may check the status of your application online at https://www.pmi.org/certapp/ and may visit www.Prometric.com/PMI to review any upcoming paper based testing events and/or CBT locations.
Then next step for you will be Scheduling an Exam, when you receive an approval from the PMI.
